This meeting was called by the committee to advise members of alleged financial irregularities that had been identified as well as the likely failure of parties responsible for administrative activities to have fulfilled their obligations.

Members were advised that the Treasurer had resigned his post in November 2024 and was immediately co-opted to fill a casual vacancy that existed for a committee member!

It was further revealed that the Secretary, appointed in July 2024, had reported personal difficulties around the same month the Treasurer abandoned his role, having presumably successfully completed a 12 week probationary period following appointment at the end of July 2024.

This situation was further exacerbated with the sudden and unexpected departure of the Club Secretary around February 2025

The committee response to these difficulties was to adopt a highly questionable course of action that resulted in both roles being undertaken by a single individual who had also undertaken a commitment to temporarily recuse himself from a role as committee member to assist in the duties of the recently departed club steward. All roles were designated as either "temporary" or "acting" which might be somewhat humorous given the lack of efforts that would seem to have been conducted to recruit individuals to fill these posts plus the fact that this is still the position today.

Members were also advised that these difficult circumstances had led to a lack of clarity and questionable accuracy of the club's accounting records and this had an impact on the ability to have the accounts prepared by an appropriately qualified external resource and an unwitting breach of club rules had been committed in the appointment of a replacement auditor, due to perceived cost issues, with that latter action being undertaken without club member approval.

It is arguably entirely reasonable to conclude that there has been multiple extremely serious failures in the level of governance that the committee have shown in relation to their obligations to club members.

Some may suggest that such a conclusion might be mitigated by virtue of the fact that those undertaking the roles of club officers and committee members are acting in an unpaid voluntary capacity and may not necessarily possess a full comprehension of the reasonable expectation that club members should anticipate.

It is obviously a matter of personal opinion whether any such mitigation is valid and, if accepted, to what degree that might reduce either collective or individual culpability.

At this meeting a commitment was given to convene a subsequent Special General Meeting to provide the 2024 accounts for review and discussion and also update members on steps that would be taken to address the dire situation that had arisen.

By mid-August, in the absence of any information concerning the promised Special General Meeting, one member felt sufficiently strongly to submit a letter to the "Acting Secretary" advising that having due regard for all factors a proposition to the effect that the members had no-confidence in the current committee.

The committee convened that promised subsequent Special General Meeting on 16th November 2025 and this member's request was included on the agenda.
